Mr. Cold and the Yeti

The cold air is starting to roll in and the ground is a mosaic of fallen leaves… winter is on it’s way. Last winter broke almost every snow-related record here in Boston, leading many to call it a “Snowmageddon”. So what would you think when we say that we decided to bring winter back a little early with a blowout Snowmageddon Party earlier this fall at the Westin Copley Hotel? You bet – our Nor’easter of a party blew everyone away!

Snow Warning Signs

One of the most impactful elements in an event is one that many planners forget- the clothes your attendees wear! We’re all used to formal, business casual, etc – but nothing transforms a theme like hundreds of attendees all dressed the part! Our (very cooperative) guests all showed up in white, and while they didn’t know why at first, it quickly became apparent they were party of the storm’s whiteout as they passed by videos of ominous weather reports and warning signs.

Once in the ballroom, Mr. Cold and the Yeti welcomed guests to enjoy the evening. A selection of winter-themed drinks were available, including Freezemeister Martini’s, Boozey Snow Cones, and beers served from the bucket of a Bobcat. And while the real Steven Tyler may have been snowed out from the storm, Draw The Line’s Aerosmith covers brought guests to their feet to melt away thoughts of snow.

Boston Event Planning Summer Outing

2015 was the Summer of Newport, RI!  As we created proposals for summer outings, the CE office noticed a common trend among local corporate groups.  Many wanted to mix things up a bit by getting out of Boston and heading to a seaside locale within an hour or two of the city.  After considering Ipswich, MA and Thompson Island, this Boston based group decided Newport was the spot for them! The destination offers plenty of outdoor and historic activities and a beautiful, oceanfront spot for a relaxing luncheon.

Guests’ began their day with coffee and donuts before hopping on private motor coaches and heading to their morning activities in Rhode Island.  Those looking for an active and water friendly experience could participate in a kayaking excursion or America’s Cup Regatta, while a more relaxing and historical tour awaited guests at Rough Point Mansion – the home of heiress, philanthropist and art collector, Doris Duke.

After the morning activities wrapped up, guests were whisked off to their coastal clambake lunch. Established on July 4, 1799, Fort Adams is a former United States Army post and the largest coastal fortification in the US.  in 1965, the fort and surrounding land was donated to the state of Rhode Island to be used as Fort Adams State Park.  The impressive architecture of the massive fortress and the picture perfect view of Narragansett Bay provided a unique outing backdrop.  After a busy morning, guests arrived ready for some light bites, cocktails and fun!  Games were spread out across the grassy area and many spent the afternoon playing baggo, croquet and bocce.

The highlight of the afternoon was a New England, pit-style clam and lobster bake that had been cooking on the lawn all morning.  Guests were asked to gather on the lawn and watch as the chefs unearthed the mass quantities of shellfish, potatoes, corn and sausage.  These guys have been putting together authentic  lobster bakes for over 45 years!  As they peeled back the many layers of canvas and revealed the meal, they explained the traditional cooking process passed down from early New England colonists.  It was truly a site to behold!

Following the big meal reveal, guests headed to the tent where a mixture of industrial wooden tables and burlap topped rounds awaited them.  Table decor featured our favorite “rusti-chic” style.  (Yes, we are still trying to make “rusti-chic” happen!)  Wild flowers in purple, yellow, green and white were arranged in metal and natural wood containers while scattered succulents and mason jars filled with candles rounded out the centerpieces.  Coupled with summertime hits played by the McMurphy’s, it was the perfect atmosphere for the delicious meal!

New England Event Planning

We promised you a closer look at some of our June events and we are starting with one of Newport, RI’s premiere venues!  Located just over an hour South of Boston, Newport is one of our favorite seaside cities to visit (especially in the summer) and when a client decides to take their event or meeting to this New England resort town we are thrilled!

Over the course of the three day program, 400 guests were given the opportunity to explore Newport during multiple activities and off sites.  One particularly memorable evening took place at Belle Mer, a chic Newport event space that combines elegance with contemporary glamour.  Located on the edge of Narraganset Bay, Belle Mer offers sweeping views of Newport Harbor and the true Newport society experience.  Guests were welcomed to Belle Mer for a night full of cocktails, delicious bites and some unique entertainment.  A variety of low and high cocktail tables were spread across the property to promote casual dining and informal mingling.  Sticking with the ocean side theme and complimenting the sleek space, punchy patterned linens in blue and green topped guest tables.  Centerpieces featured white ceramic and glass containers filled with succulents and white florals.

Many guests spent time outdoors enjoying the beautiful weather, playing lawn games and exploring the seven acres of manicured lawns.  Collections of Adirondack chairs were scattered around the picturesque, ocean-view setting and were the perfect place for guests to catch the sunset!

The highlight of the evening was the variety of unique entertainment and performances that encouraged guests to explore their creative sides.  From caricaturists and ice sculptors to bucket drummers and magicians, we ensured guests were engaged from arrival to departure.  Throughout the evening two talented artists created larger than life nautical masterpieces.  A muralist began with blank canvases and by the time the event ended had painted a beautiful ocean scene.  At the same time world renowned artsit, Rob Surrette, created an equally impressive piece made entirely of push pins! As the sun set, guests were invited outside to view the night sky with the help of  a few telescopes. Guests were able to see Saturn and Jupiter while a local astronomer provided background on the two beautiful planets.  To cap the night off, dueling pianists picked up the tempo and played crowd favorites and sing-along classics.  The skilled pianists encouraged song requests, creating a truly interactive experience.  Entertainment was staggered over the course of the evening and strategically placed in different areas of the venue so there was no shortage of things to inspire guests creatively!

Bold Prints and Bright Florals

After a winter complete with record snow, we weren’t exactly thrilled when March came in like a lion. As seasoned Bostonians, we’re used to it – but the first signs of spring are always a welcome sight! Though it may have been cold, gloomy and windy outside, our recent event at the Sheraton signaled that warm weather was on its way.  For us, nothing screams spring like an abundance of eye-catching blooms!

Upon arrival, guests were greeted by modern, sophisticated decor and complimentary ambient lighting that filled the ballroom.  A statement bar acted as the main focal point and glowed brightly in the center of the room, surrounded by a variety of communal tables and rounds topped with bold hexagonal print linens.  Centerpieces featured a mixture of bright pink orchids and stark white calla lilies in sleek, geometric containers that kept with the modern aesthetic.  Echoing the printed linens, a hexagonal pattern wash was projected around the perimeter of the room.

Local jazz group Twilight performed throughout the reception and guests were treated to a blend of classic blue note jazz and stylized versions of pop, indie and latin infused music!  Those looking for a corner to network or relax could prop their feet up in one of the soft seating areas which featured sleek white couches and polished silver coffee tables.

Lucky for us, we didn’t have to daydream about beautiful blooms for too much longer, as spring really was right around the corner!  Dare we start dreaming of beaches and boats?  It’s never too early!
